Folders & workspaces
Workspaces and folders keep your Kuno recordings and transcripts cleanly separated — by project, team, or client, for example. That way you can always find your notes again and stay in control of who sees what.
At a glance
- A workspace is the top level: your personal workspace is private by default, and team workspaces are shared deliberately with colleagues.
- Folders organize recordings within a workspace — individually, in batches, or automatically for recurring meetings.
- Access rights are clearly tiered: only members of a workspace can see its contents.
- All data — recordings, transcripts, folder structure — is processed exclusively in the EU; no model training on your content.
- German law applies when sharing: only share content from confidential conversations with the consent of everyone involved (§ 201 StGB).
Once you’ve made more than a handful of recordings with your Kuno device, some structure starts to pay off. Kuno gives you two levels for this: workspaces as the top-level unit, and folders for finer organization within them.
Understanding workspaces
A workspace is the home for your recordings, transcripts, and folders. Every Kuno account starts with a personal workspace, which is private by default — only you have access.
If you work with a team, you can also create or join a team workspace. Content in a team workspace is visible only to its members. You can switch between multiple workspaces at any time from the top left of the Kuno app.
To create a workspace:
- Open the Kuno app and tap the workspace name in the top left.
- Select New workspace.
- Give it a name (e.g. “Müller Law Firm”) and, optionally, a logo.
- Use Invite members to invite colleagues by email.
Creating and filling folders
Within a workspace, folders help structure your recordings — by project, client, or quarter, for example.
- In the sidebar, select New folder.
- Enter a name, an icon, and, if you like, a short description.
- Confirm with Create.
Move recordings into a folder by dragging and dropping them, or select several and choose Add to folder. For recurring meetings, turn on Add automatically so new recordings land directly in the right folder. Subfolders (one level deep) help with larger projects.
Sharing and access
Share a folder by assigning it to a team workspace or by adding individual members. Whoever owns a folder manages its permissions and content; members can add their own recordings but can’t remove others’ recordings.
Note on privacy and consent: All content is processed exclusively in the EU — Kuno never trains models on your data. Before sharing recordings of confidential conversations, make sure everyone involved has consented to the recording. Private spoken word is protected in Germany under § 201 StGB, and the GDPR requires a legal basis for sharing personal data.
