Choose the intended memo

Use a spoken memo template
Start every recording with this structure:
- Subject: “Supplier packaging decision.”
- Context: “Following the Friday prototype review.”
- Facts: “Option B passed the drop test and is two days faster.”
- Decision or recommendation: “Proceed with option B.”
- Action: “Lea requests the final quote.”
- Due date: “By Tuesday, 21 July.”
That sequence gives transcription and summarization systems explicit anchors. Avoid “They should send that soon.” Names and dates are easier to verify than pronouns and relative timing.
Capture clear source audio
For a solo memo, hold the microphone at a consistent distance and avoid covering it. Pause between sections and spell uncommon names. If you are walking outside, shield the microphone from wind. Record separate files for unrelated topics so each can receive a meaningful title.

Edit the transcript into a memo
Do not send the raw transcript by default. Turn it into a document that respects the reader’s time:

Remove fillers and repetition, but do not improve a speaker’s claim into something stronger. Mark uncertainty explicitly. If the memo records a meeting, link to the source recording or timestamp only for authorized readers.
Organize and retrieve voice memos
Use a predictable filename such as 2026-07-18_supplier-packaging-decision. Add project, people and due-date fields in the destination system rather than relying on search alone. Process an inbox at a fixed time and delete duplicates after confirming the memo is safely stored.
A practical checklist:
- one topic per recording;
- title it immediately;
- transcribe within one working day;
- extract decisions and actions;
- assign an owner and date;
- file it in the system of record;
- apply the retention policy to audio and text.

Use a short test: can another authorized person understand what happened, what must happen next, who owns it and when it is due? If not, the recording is not yet a memo.
