To download a Microsoft Teams meeting recording as MP4, open the meeting in Teams, select the Shared tab, find the recording, choose More options, then Download. Microsoft’s current support documentation states that only the meeting organizer can download a meeting recording and that the file is MP4.
If Download is missing, the problem is usually ownership, permission, expiration or organisational policy—not file conversion.
Download the recording step by step
Microsoft’s official Teams recording guide provides the current route:
- Open Microsoft Teams.
- Go to the relevant meeting chat or channel.
- Select Shared.
- Find and select the meeting recording.
- Choose More options → Download.
- Check the browser or system Downloads folder for the MP4.
Rename the file only after it finishes downloading. Use a name that preserves the meeting date and subject, for example 2026-07-17-customer-discovery.mp4.
Where Teams recordings are stored
Teams uses Microsoft 365 storage rather than a separate legacy recording location.

The meeting chat and calendar provide convenient links, but the actual file lives in OneDrive or SharePoint. This matters when the original organizer leaves the organisation, a retention rule expires the recording or access must be granted outside the invitation list.
Microsoft also states that only the organizer and co-organizers can edit the recording, while invited participants can generally view it. Download rights are narrower in the current help page: only the organizer can download.
Why the Download option is missing
Work through these causes:
You are not the organizer
Ask the organizer to download the MP4 or share the file through the organisation’s approved OneDrive/SharePoint process. Do not ask for broad folder access when access to one recording is enough.
You opened the wrong surface
Open the original meeting chat, calendar recap or channel and select Shared. A copied chat message or notification may lead to a player without the controls you expect.
The file expired or was deleted
Microsoft notes that recordings can expire after a period set by the IT administrator. Expired recordings move to the recycle bin, and recovery is time-sensitive. Ask the owner or administrator to check OneDrive or SharePoint recovery promptly.
Organisational policy blocks the action
Microsoft 365 administrators can control recording, permissions and sharing. If the organiser sees no Download option, collect the meeting date, organiser, storage location and screenshot, then contact the administrator.
The browser download is blocked
Allow downloads for the Microsoft 365 site, check the browser’s download panel and confirm sufficient local storage. Try the Teams desktop app or a supported current browser according to company policy.
Captions, transcripts and MP4 are separate
Microsoft’s support page says captions are not captured in meeting recordings or downloads. They can be displayed while viewing through Teams or the Microsoft 365 video player, but the downloaded MP4 should not be treated as a permanently captioned video.
If you need text:
- download or access the meeting transcript separately where available;
- preserve speaker and timestamp information;
- review names, numbers and decisions against the recording;
- create an SRT/VTT caption file if the MP4 will be published;
- do not assume captions visible in the player are embedded in the video.

Share the recording without downloading it
Downloading creates another uncontrolled copy. If the recipient only needs to view the recording, sharing a managed link may be safer.
Microsoft’s process is to open the meeting chat, choose Shared, select More options for the recording and copy a link. The owner can manage access through OneDrive or SharePoint. External guests may need a direct link and the appropriate permission.
Prefer a managed link when you need:
- revocable access;
- a single source of truth;
- retention under Microsoft 365 policy;
- fewer local copies;
- audit and permission controls.
Download only when there is a defined need such as editing, archiving under policy, captioning or migration.
Handle the MP4 safely
A meeting video can expose faces, voices, screens, customer data and private chat notifications. Before moving it:
- confirm recording consent and the intended purpose;
- use an approved encrypted device;
- avoid personal cloud drives and consumer transfer sites;
- restrict access to the smallest necessary group;
- remove accidental screen disclosures before wider sharing;
- define how long the MP4 and transcript will be retained;
- delete temporary export and editing copies.
