A good Bluetooth meeting speaker is a purpose-built speakerphone, not merely a portable music speaker. It combines microphones, loudspeaker, echo management, and call controls so several people around a table can hear and be heard through a laptop or phone. The right model depends more on room geometry and connection reliability than headline wattage.

Start with the room, not the product list
Count participants and note where they sit. A device that works for two people at a small desk may fail across a long table. Hard walls and glass create reflections; ventilation and laptops add steady noise; remote attendees expose echo and level changes.
Map the maximum talker distance and whether people move. If the room is large, consider expandable microphones, a wired conference system, or installed audio rather than expecting one portable puck to solve coverage. Speakerphone versus ordinary Bluetooth speaker
Music speakers are optimized to play sound. A meeting speakerphone must also capture voices while its own loudspeaker is active. That requires microphone arrays or suitable pickup, acoustic echo cancellation, gain control, and conversation-aware processing.
Look for explicit microphone specifications, recommended room or participant coverage, full-duplex claims, mute indication, and compatibility documentation. Do not infer meeting suitability from battery size or bass response. A product-fit assessment should be based on published capabilities and a controlled test, not unverified reviews or imagined hands-on experience.
Bluetooth profiles and compatibility
Bluetooth compatibility depends on shared profiles, not only a Bluetooth version number. The Bluetooth SIG explains that profiles define behaviors devices use to communicate and that both devices must support compatible profiles. Its official Hands-Free Profile specification page describes wireless voice connections and remote control between a phone and hands-free device.
Computers, phones, operating systems, meeting apps, and speakerphones can negotiate different audio paths. A device may pair for media playback yet not appear as the intended microphone. Confirm that the model supports two-way call audio with your target hosts, not just A2DP music playback.
USB, Bluetooth, and dongle tradeoffs
Bluetooth removes a cable and works well for phones and flexible seating. USB can be more predictable on managed laptops, may carry power, and may expose hardware buttons or firmware management more reliably. Some certified Bluetooth products are designed to use a manufacturer’s USB dongle on computers rather than the computer’s native Bluetooth radio.
The best operational default is dual connectivity: test Bluetooth for convenience and keep USB or the approved dongle as a fallback. Microphone coverage and duplex behavior
Published pickup distance is a starting point, not a guarantee. Speech level, room noise, reflections, device position, and competing speakers affect intelligibility. Place the speakerphone centrally, away from a projector, fan, coffee machine, and laptop exhaust. Do not hide it behind a screen or stack papers around its microphones.
Full duplex matters because natural conversation includes short acknowledgements and interruptions. A weak system may suppress one side whenever the other speaks. Test simultaneous speech, quiet participants, someone turning away, and a person at the farthest seat. Listen from the remote side; people in the room cannot accurately judge what the microphone sends.
Platform certification and controls
If Microsoft Teams is the standard platform, certification provides useful evidence. Certification does not prove suitability for every room.
Also test mute synchronization, answer and end controls, selected speaker and microphone, firmware updates, and behavior after sleep. Battery, charging, and shared-room ownership
Portable hardware fails operationally when nobody owns charging. Check rated talk time, charging connector, charge-while-in-use behavior, battery indicator, and replacement policy. For a permanent room, a wired power arrangement may be safer than portability.
Assign the device to a room or team, label it, record its firmware process, and keep the required cable or dongle attached. Decide who resets pairings and where the device is stored. A cheaper speakerphone that regularly disappears or starts meetings empty creates a higher real cost than a well-managed shared unit.
Test before buying at scale
Use the actual laptops, phones, conferencing software, table, and network. Test a local participant at every seat and a remote listener using ordinary headphones. Include overlapping speech, a soft voice, typing, ventilation, and a presentation played through the room.
Score intelligibility, echo, clipping, setup time, reconnection, mute confidence, and control behavior. Compare against the laptop microphone and another appropriately sized candidate. Consent when audio is captured
Using a speakerphone for a live call is not automatically the same as recording, but recording or transcription features may exist in the platform or another device. Before any capture, inform all participants about the purpose, data captured, access, storage, and retention. Obtain explicit agreement from everyone before recording begins.
Offer a fully equal no-recording/manual-notes alternative with the same participation, influence, and service. Manual notes must be available on genuinely equal terms. Choose each component for its actual function. If AI creates a transcript, summary, or action list from captured audio, treat it as a draft.
