A pre installation site survey checklist creates a shared, evidence-based view of the place where equipment or a system will be installed. It connects design assumptions with actual access, utilities, interfaces, environmental conditions and site rules before crews, deliveries and commissioning depend on them.

The survey is not a permit, engineering approval, safety authorization or promise that all concealed conditions are known. Define the installation and survey boundary

Identify the site, room or work area, equipment package, design revision and planned installation window. State whether the survey covers delivery access, storage, foundations, utilities, network interfaces, commissioning support, reinstatement or only a subset. Name the site representative, installer lead, designer or engineer, safety contact and people authorized to accept findings. Record tenant, landlord and third-party interfaces. Use one row per verified requirement or gap. “Looks fine” is not reproducible evidence. Record units, reference points, instrument or source where relevant, and whether a value was measured, supplied or estimated.

Verify access, delivery and material flow

Walk the proposed route from the site boundary to the final position. Check booking rules, vehicle restrictions, gates, loading areas, gradients, overhead limits, doors, corridors, stairs, lifts, turning space and temporary obstructions. Record dimensions at the narrowest or most restrictive points, not only nominal openings.

Confirm who controls traffic, lifting, escorts, parking, unloading and temporary storage. Lifting plans and load assessments belong to competent, authorized people. The survey should identify the need and provide verified inputs, not prescribe an unapproved method.

Consider packaging removal, waste routes and movement of tools after the main delivery. A route that accepts crated equipment may not support safe unpacking or final orientation. Changes to access should be tracked through a construction change order log template or the project’s approved change process when commercial or design scope is affected.

Measure space, supports and physical interfaces

Measure the installation footprint, service clearances, maintenance access, ceiling height and relevant openings from defined reference points. Note floor condition, wall construction, existing supports and visible clashes. Photographs should include labels or a location reference so another reviewer can understand what they show.

Do not infer structural capacity from appearance. Obtain approved load information and qualified structural review where required. Compare observed conditions with the design and manufacturer requirements. Record every variance, its potential effect and the owner who must decide. Never alter equipment, supports or required clearance merely to make an undocumented mismatch fit.

Identify the required power, water, drainage, ventilation, compressed services, controls and network connections. Record connection point, capacity evidence, characteristics, ownership and availability date. A label or unused outlet is not proof of capacity, condition or compatibility.

Qualified specialists should confirm electrical protection, earthing, isolation, pressure, flow, environmental limits and other technical parameters as applicable. Define who may isolate, connect, test and re-energize. Note operational shutdown windows and affected stakeholders.

For digital systems, confirm network segmentation, ports, identities, data handling, cybersecurity review and support ownership through approved processes. Do not include credentials or detailed security configurations in a broadly distributed survey. Record site rules, hazards and work constraints

Capture required inductions, permits, working hours, noise or dust controls, hygiene rules, restricted areas, emergency arrangements and personal protective equipment specified by the site. Identify concurrent operations, public interfaces and sensitive occupants that can affect sequencing.

The survey should flag hazards and planning dependencies, but it does not replace the approved risk assessment, job planning or method statement.
