Fathom Transcription: How It Works, What's Free and Its Limits in 2026

Fathom transcription is a cloud meeting-notetaker feature for supported online calls. Its individual Free plan includes unlimited recordings, storage and transcripts in 38 languages; paid plans mainly expand summaries, action items, collaboration and administration rather than adding transcription minutes.

The important limits are equally clear: Fathom does not publish a universal accuracy percentage, transcripts need human checking, transcript export is copy-based by default, and Fathom’s current security documentation says data is stored in the United States.

What is Fathom transcription and how does it work?

Fathom captures meetings, creates a timestamped transcript and then generates a summary and related AI outputs. Its established experience uses a bot that joins Zoom, Google Meet or Microsoft Teams. Fathom also offers a bot-free Mac capture experience in beta, according to its current pricing page.

In the classic bot experience, the transcript is produced after the meeting ends and the recording has been processed. The newer desktop experience can show a live summary during a call, but Fathom’s real-time transcription guidance distinguishes that live summary from the completed post-call transcript.

That makes Fathom a meeting assistant, not a universal audio-to-text converter. It works best when your meeting already takes place on a supported conferencing platform and you want the recording, transcript and summary kept together.

Is Fathom transcription free?

Yes. Fathom’s individual Free plan includes:

The counterintuitive part is that Team can cost less per seat than individual Premium. The two-user minimum and team-oriented feature set explain the packaging. Compare the billing period and minimum seat count, not just the largest number on the plan card.

Language availability does not guarantee equal accuracy. Test your actual combination of language, accent, microphone and specialist vocabulary before relying on a transcript operationally.

How accurate is Fathom transcription?

There is no defensible single percentage. Fathom does not publish a universal transcription-accuracy score, and third-party percentages are usually based on different recordings and scoring methods. Treat any unsourced claim such as “99% accurate” as marketing rather than a result you can transfer to your meetings.

Accuracy normally falls when a call has:

• Overlapping speakers or frequent interruptions
• A distant laptop microphone or heavy room echo
• Background noise, poor connections or compressed audio
• Accents, dialects or frequent switching between languages
• Product names, surnames, numbers or specialist terminology

The correct test is simple: run several representative meetings, then check names, numbers, commitments and quotations against the audio. A transcript can still be highly useful when imperfect, but it should not become a legal, medical or customer record without review.

Does Fathom provide live transcription?

It depends on which Fathom experience you use. The classic bot-based experience generates transcripts and summaries after the meeting. Fathom’s newer bot-free desktop experience includes a live summary that updates during the call, but its help documentation does not describe that as a complete word-for-word live transcript.

If accessibility captions are the requirement, use the conferencing platform’s native captions or a product explicitly designed for live captioning. If the requirement is a searchable post-call record with a summary, Fathom fits more naturally.

This distinction also matters during procurement: “live AI summary” and “real-time verbatim transcription” are different product capabilities.

How do you copy or export a Fathom transcript?

Fathom’s native transcript workflow is straightforward:

1. Open the recorded call.
2. Select Copy Transcript above the transcript.
3. Paste the text into the document, CRM or knowledge base where it belongs.

Fathom’s current transcript-copy instructions explicitly describe copy and paste rather than a direct transcript-file download. Fathom also provides a public API for automated workflows, but output requirements should be tested before a team rollout.

This matters if you need TXT, DOCX, SRT or VTT files, bulk retention, e-discovery or a document-management handoff. A good meeting experience can still create downstream manual work when the required export format is not native.

If your source is an existing recording rather than a supported live meeting, use a dedicated audio-to-text workflow instead.

Can Fathom transcribe uploaded files or in-person meetings?

Fathom’s help centre says external recordings cannot currently be uploaded for analysis: its standard workflow records supported live meetings. That excludes voice memos, interview files and existing MP3 or video archives.

For in-person capture, Fathom’s current help guidance describes a new iOS experience as coming soon. Its older workaround is to run a supported online meeting in the room, but a shared room microphone weakens speaker separation and turns an in-person conversation into an improvised video-call recording.

Where does Fathom store transcripts and recordings?

Fathom’s security FAQ currently says all Fathom data is stored in the United States. It also states that Fathom is GDPR compliant, can sign a DPA for EU and UK users, and holds SOC 2 Type II and HIPAA credentials.

Those statements answer different questions:

• Security and compliance: which controls, contracts and certifications exist
• Data residency: where the data is physically stored
• Model training: whether customer data can be used to improve models

Fathom says its AI subprocessors are contractually prohibited from training on user data. It separately says that Fathom may use de-identified customer data to improve its own proprietary models, with an opt-out available in settings. Teams handling confidential meetings should review that setting, the DPA, access controls and retention policy before enabling automatic recording.

GDPR compliance does not mean EU data residency. European organisations that require storage in the EU should treat Fathom’s United States hosting as a procurement constraint, not as a hidden footnote.

When is Fathom the right transcription tool?

Fathom is a strong choice when most meetings happen on supported video platforms, the free tier matters, and copy/API export fits the downstream workflow. It is especially attractive for individuals who want unlimited transcripts without tracking a monthly minute allowance.
