A balance sheet reconciliation template creates a traceable bridge between a general-ledger balance and reliable supporting records. It should show what the account represents, why the balance is reasonable, which differences remain and who prepared, reviewed and approved the conclusion.
Reconciliation is a control, not a formatting exercise. Qualified accounting, finance, tax, legal, audit and operational owners must apply applicable law, accounting framework, policy, system controls and professional judgment. A checklist is not authorization for an entry or proof that a balance is accurate or compliant.
Define the account and control scope
Record entity, account number and name, currency, period, ledger, reporting basis and reconciliation frequency. Describe the account’s purpose, expected balance behavior and authoritative support. Identify material subaccounts or locations rather than allowing aggregation to hide exceptions.
Name preparer, reviewer, approver and control owner, with due dates and independence requirements. State whether the reconciliation is transaction-level, roll-forward, subledger-to-ledger, bank-to-ledger or another approved method. One method does not suit every account.
Align timing and dependencies with the month-end close checklist. If upstream postings are incomplete, mark the reconciliation provisional and specify the follow-up.

Reference evidence by stable location, version, custodian and extraction time. Do not embed unnecessary personal, payroll, customer or supplier details in a broadly accessible file.
Establish reliable supporting evidence
Choose support independent enough to substantiate the ledger: subledger reports, bank statements, confirmations, fixed-asset registers, tax schedules, contracts, inventory records or approved calculations. A copy of the same ledger data in another spreadsheet is not independent support.
Check report parameters, completeness, cutoff and access. Document who extracted the source, when, from which system and whether it can be reproduced. The audit evidence log template provides useful provenance and reviewer fields.
For estimates, record methodology, inputs, source owners, assumptions and approval. Qualified accounting owners determine acceptability; the preparer should not infer accounting policy from a prior spreadsheet alone.
Build the balance bridge
Start with the final posted ledger balance for the stated period and reporting unit. Compare it with the support total on the same basis. Normalize signs, currencies, dates and account mappings transparently. Never use a plug to force the difference to zero.
For roll-forwards, show opening balance, additions, settlements, transfers, remeasurement and closing balance. Reconcile the opening amount to the prior approved close and explain restatements or late entries with their authority.
Where one reconciliation covers multiple accounts, present each ledger-to-support bridge before the aggregate. Offsetting differences can conceal classification problems or errors in separate entities.
Classify and age reconciling items
Give every difference a stable ID, description, source, originating date, amount, category and evidence. Separate timing differences, unrecorded transactions, mapping errors, unsupported balances, disputed amounts and known accounting adjustments.
Age from the event or original expected-clearance date under policy, not from the latest period in which the item was copied. Preserve history when an amount changes. An old balance should not look new because the spreadsheet was refreshed.
State whether an item requires correction, further evidence, monitoring or approved write-off. The audit findings tracker template can support systemic remediation, while the reconciliation remains the period-specific financial control.
Assign ownership and resolution
Each open item needs one accountable owner, next action, due date, dependency and escalation status. Distinguish the finance owner who ensures resolution from the operational person supplying evidence. Shared ownership should not obscure accountability.
Describe the proposed accounting or operational treatment without posting it automatically. Journal entries, write-offs, reclassifications and estimates require authorized preparation and approval under policy. Link to the resulting entry and evidence after posting.
Escalate threshold breaches, repeated root causes and unsupported balances. A low-value item may still indicate a material control problem, so value thresholds should not be the only criterion.
Review movements and unusual activity
Compare balance and composition with prior periods, forecast or expected operating drivers. Investigate unusual signs, dormant accounts with activity, round amounts, manual journals, post-close entries and large changes near cutoff. Variance analysis supports challenge but does not replace reconciliation.

Document the reason, evidence and reviewer response for unusual activity. If fraud, misconduct or legal concerns arise, follow restricted escalation procedures rather than recording sensitive allegations in the general reconciliation file.
Perform an effective independent review
The reviewer should verify source reliability, recalculate the bridge, inspect material and aged items, challenge accounting treatment, assess prior-period carryovers and confirm that actions are specific. A signature without visible challenge is weak evidence of review.
Use a risk-based review plan that still covers completeness and not only large amounts. Reperform formulas, inspect hidden rows and columns, verify report parameters and agree a sample to original support. Check that signs, currencies, entity codes and dates are consistent. Compare preparer explanations with the evidence rather than accepting familiar wording from the prior period. For recurring estimates, challenge changes in method, assumptions, overlays and source data. Document why an apparently unusual balance is reasonable instead of simply labeling it reviewed.
Record questions, responses, changes and unresolved exceptions. The preparer should not overwrite the original submission without version history. If the reviewer also performs an operational control feeding the balance, assess whether independence remains sufficient.
Qualified control owners define sampling, thresholds and sign-off criteria. The internal audit report template is appropriate for independent assurance reporting, not as a substitute for management’s reconciliation responsibility.
When the balance includes physical assets, inventory, deposits, legal claims or tax positions, involve the relevant qualified owner. A finance reviewer may validate ledger arithmetic without being able to confirm physical condition, legal enforceability or tax treatment. State the scope of each review and retain the specialist evidence. If support arrives after sign-off, assess whether the reconciliation must be reopened under close policy rather than attaching it without renewed challenge.
Use a completion dashboard only after reconciling it to the underlying account population. Report not started, prepared, returned, approved and reopened as distinct states. A green completion percentage must not conceal overdue high-risk accounts or material unresolved items. Name the person authorized to declare close completion and preserve the underlying reviewer evidence rather than treating the dashboard as the control record.
Apply privacy, access and retention controls
Financial support may contain bank details, personal data, payroll information, tax records or contract terms. Restrict access by role, minimize copied data and use approved repositories and secure transfer. Avoid sending full support packs through uncontrolled channels.
Record the retention owner and policy basis. When evidence must be redacted, preserve enough context for authorized reviewers to verify the balance and document who controls the unredacted source.
Protect formulas and reference data where appropriate, but do not use spreadsheet protection as proof of integrity. System controls, versioning, access logs and review evidence may all be relevant.
